An exciting Global Meetings and Events (GME) team has recently been formed within the Global Business Services (GBS) organization. This team is responsible for implementing and executing a global Strategic Meetings Management Program (SMMP) across Commercial, Enabling Units and Science Units.

As the Compliance and Travel Adherence Manager, you will be responsible for high standard of compliance & travel knowledge in the team and for the proactive and responsive review of meetings and associated travel to ensure both are done in a consistent and compliant manner. This applies to both local country specific external regulations, as well as internal process, policy and guidelines at market (local) and global levels. In doing so, you must understand all relevant regulations, process, policy and guidelines in detail, to provide guidance and advice that ensures meetings and travel are compliant. As part of our GME Operations Team, you will support the management of daily event execution to ensure successful delivery of our meeting effectiveness key performance objectives. The role will be focused on optimizing and maintaining business as usual for launched markets and establishing the new service in Japan as well as other markets which will be deployed in future waves.

Core Responsibilities include:

1. Compliance Adherence :

  • Subject matter expert (SME) for Compliance limits and guidelines for external attendance at meetings (domestic or cross border)

  • Own the operational relationship with Global and local Compliance contacts (and other key areas as needed), raise issues on behalf of the service team for assistance and report back to the team

  • Be the linchpin between GME and business partners, Data Privacy, Global Security, SHE (Safety, Health & Environment), Global Compliance, Global Digital Governance team

  • Regularly publish compliance updates for GME including key Global changes, in-market changes (i.e.. Global data privacy standards, new TOV (Transfer of Value) requirements, etc.)

  • Report compliance adherence %, breaches type and remediation on a monthly basis & maintenance of the compliance Tracker in collaboration with GME SME’s (incl successful delivery of the TOV reporting by GME Operations team)

  • Collaborate with Digital Governance & appropriate partners to ensure necessary notices and cookies are applied by AZ Meeting Managers for virtual and hybrid meetings

  • Create GME compliance communications, guides, processes and training material for multiple globally diverse stakeholders, internal or external to AstraZeneca (e.g. partner suppliers), hold workshops where required

2. Travel Specialist

  • Owner of the GME end to end travel process (including customized solution in markets). Own the operational relationship with Global Travel Procurement and Global Travel Partner (BCD) to raise issues/escalations, address any resource issues and work together to resolve them Communicate solutions, updates and changes to the GME team. Track and report SLAs and KPIs for BCD Travel with clearly defined performance targets

  • Update Travel guidance in line with AZ SET (Senior Executive Team) policy and impact to meeting management, Travel Do’s & Don’ts, arising requirements in line with pandemic evolution

  • Create & provide appropriate travel process-related training & guidance to multiple globally-diverse stakeholders, internal or external to AstraZeneca (e.g. partner suppliers)

  • Within specified SLAs, review and ensure travel bookings adhere to AZ and regulatory guidelines (local and or global)

3. Cross collaboration

  • Support Regional Directors with roll out of GME service from a compliance perspective as well as delivering travel workshops with BCD as our travel partner, create job aids where additional support is required

  • Team player, partnering with Change Management and Solutions Manager to recommend changes to Cvent workflow and overall process as internal or external factors warrant and communicate to GME team/ update monthly GME updates

Essential Requirements

  • Bachelor’s Degree or equivalent experience

  • Knowledge & experience in Compliance management & pharmaceutical regulations; knowledge of GDPR laws, basic knowledge of EFPIA & Sunshine Act

  • Experience with process, policy and SOP (Standard Operating Procedures) administration

  • Experience working across a geographically and culturally diverse, cross-functional team

  • Excellent at communicating & drafting concise guidelines, policies, job aids, training materials


  • Pharmaceutical experience

  • Experience with meeting industry technology (Cvent, StarCite)

  • Experience within the Meeting & Events and Business Travel sector
